Position Overview

We are seeking a highly enthusiastic, hospitality-minded Front Desk Associate who thrives in a fast-paced, luxury aesthetic environment and genuinely enjoys connecting with people.

The right candidate will be results-driven, a natural relationship builder, and confident in educating patients about treatment plans and packages. They will be motivated to support the clinic’s growth by turning inquiries into booked consultations and helping patients move forward with services that align with their goals.

Responsibilities

• Client Interaction
  • Create a warm, polished first impression by greeting and welcoming every client in a professional, attentive, and friendly manner.
  • Deliver a high-touch, luxury experience ensuring every client feels cared for, comfortable, and valued from arrival through departure.
  • Manage client check-ins and check-outs while maintaining a calm, organized, and welcoming front desk environment.
  • Anticipate client needs and proactively assist with scheduling follow-up appointments, treatment planning coordination, and retail product purchases.
  • Address minor client concerns with professionalism and empathy, escalating more complex issues to management when necessary.
• Patient Engagement
  • Serve as the first point of contact for new leads, responding promptly and warmly to phone calls, texts, emails, and online inquiries.
  • Build rapport quickly, understand each caller’s goals, and confidently convert inquiries into booked consultations and appointments.
  • Educate patients on treatments, services, packages, and skincare products, helping guide them toward the best options for their goals.
  • Confidently present pricing, treatment packages, and memberships, and help patients commit to plans that support their long-term results.
  • Build lasting relationships with patients through thoughtful follow-up after consultations and treatments to encourage rebooking and loyalty.
  • Contribute to clinic goals for bookings, package sales, and retail.
• Administrative Duties
  • Maintain accurate patient records and ensure all necessary paperwork is completed.
  • Direct phone calls, respond to email inquiries, and manage patient flow efficiently.
  • Assist with data entry and other administrative tasks as needed.
• Facility Maintenance
  • Perform opening and closing duties, as required, for the MedSpa.
  • Ensure lounge areas are tidy and welcoming for clients.

Qualifications

• 2-3 years (preferred) in a customer-facing role in hospitality, luxury retail, or sales.
• Sales or lead-conversion experience is a strong plus.
• Knowledge of medical aesthetics and skincare is highly desired.
• Exceptional customer service and communication skills, with a confident, friendly phone presence.
• Natural ability to build connections and comfortably guide conversations toward a booking or purchase.
• Ability to multitask and stay organized in a fast-paced, team-oriented environment.
• Reliable, punctual, and proactive with strong problem-solving skills.
• Tech-savvy with proficiency in email, scheduling software, and mobile devices.

Experience with Zenoti software is a plus.

Availability

• Flexible schedule with the ability to work some Saturdays.
