We’re looking for a friendly, organized, and service-minded Patient Care Coordinator to support our front desk, patient communication, scheduling, and daily clinic flow. This is a great opportunity for someone who enjoys working with people, thrives in a polished customer-facing environment, and wants to grow in the aesthetics industry.

About the role

The Patient Care Coordinator is often the first and last point of contact for patients. In this role, you’ll help create a welcoming experience, manage patient inquiries, support scheduling, assist with check-in and checkout, and help keep the practice running smoothly.

The ideal candidate is warm, dependable, polished, detail-oriented, and comfortable balancing patient service, administrative tasks, and sales-support responsibilities in a fast-paced med spa environment.

What you’ll do

  • Welcome patients and create a professional, friendly, high-touch experience.
  • Answer phone calls, texts, emails, and patient inquiries in a timely and polished manner.
  • Schedule appointments, manage calendar needs, and support smooth patient flow.
  • Assist with patient check-in, checkout, payments, rebooking, and follow-up communication.
  • Educate patients on services, promotions, memberships, financing options, and retail products as appropriate.
  • Help convert inquiries and leads into booked consultations and appointments.
  • Support patient retention through rebooking, follow-up, and relationship-building.
  • Maintain accurate patient records, appointment notes, and administrative documentation.
  • Partner with providers and team members to support daily clinic operations.
  • Follow HIPAA, confidentiality, safety, and company policies at all times.

What we’re looking for

  • Prior experience in aesthetics, med spa, wellness, healthcare, hospitality, front desk, sales, or customer service preferred.
  • Strong communication skills and a warm, professional phone presence.
  • Comfortable speaking with patients about services, scheduling, promotions, and next steps.
  • Highly organized, dependable, and detail-oriented.
  • Able to multitask while maintaining a calm, polished patient experience.
  • Comfortable using phones, computers, scheduling systems, and patient management tools.
  • Positive, team-oriented attitude with a strong sense of ownership.
  • Interest in aesthetics, skincare, beauty, wellness, or patient care.
  • Ability to work a part-time schedule of up to 20 hours per week, including Saturdays.

Why join Glo Medspa and AMP

  • Part-time schedule with consistent Saturday need.
  • Opportunity to work in a growing aesthetics and wellness environment.
  • Support from AMP’s broader network of aesthetic industry professionals and business resources.
  • Exposure to aesthetic treatments, patient experience, retail, memberships, and practice operations.
  • Supportive team culture focused on professionalism, hospitality, and patient care.
  • A role where your warmth, organization, and follow-through directly impact the patient experience.

Work environment

This is a patient-facing role in a med spa setting. The position includes front desk, administrative, scheduling, patient communication, and sales-support responsibilities. The role requires frequent interaction with patients and team members, use of phones and computers, and periods of sitting, standing, and moving throughout the clinic.
